A How-to Guide for Technicians

Welcome to the Kickserv workflow for technicians! Here’s how to use the Kickserv mobile app on a job from start to finish.

Getting started

  1. Download the Kickserv mobile app onto your smartphone or tablet using the app store or instructions sent via email or text from your company’s admin.
  2. Log in to the mobile app by filling in your company’s six digit Account ID, your username and password.

Note: Make sure to enable “Always” in Location settings for Kickserv to turn on time and location tracking.

  1. On the home screen, you will see your full schedule for the day. The wrench icon represents a work event, the clipboard icon represents an estimate event, and the megaphone icon is a reminder (for technicians, not for customers).



On the Go

  1. Swipe left on a job from your home screen to reveal the Notify button. Tap this button to alert the customer that you are on the way (OTW) to the event location.

  2. Tap the button again to send an SMS and email update to the customer, if needed.

  3. Tap on the map to get GPS routing to the job or estimate location.

Start the Job

  1. To start work on a job, tap on it from your home screen.
  2. To track your time, tap the Clock In button in the middle of the screen. Tap Yes to confirm your clock-in and start the timer.

Note: The time tracker will continue to run even if you close out of the app.


Perform the Job

You’ll have all the information you need to complete the job. If needed, you can add charges, expenses, time entries, notes, and attachments by tapping on the designated option, then the + icon.


Photos, Videos, and PDFs

You can add photos and videos to a Job and view PDFs right from the mobile app.


Taking a New Photo

  1. Choose a job, and scroll to find Files. Tap on the Files section.
  2. Tap the Open Camera button to access your device's camera.

  3. A Camera Upload pop-up will appear. Choose the Picture option.

  4. A message will appear asking for permission to allow Kickserv to access the device's camera. Select the OK button.
  5. Use the camera feature to take a photo, then select Use Photo when ready to save.
  6. Add a description to the photo by selecting into the Add a description... box.
  7. Toggle the Share in Customer Center button on if you want this photo to be accessible to the customer, too.
  8. Tap the Upload button to add the photo.

  9. Repeat steps 1-8 to add any additional photos.

Taking a New Video

  1. Choose a job, and scroll to find Files. Tap on the Files section.
  2. Tap the Open Camera button to access your device's camera.

  3. A Camera Upload pop-up will appear. Choose the Video option.

  4. A message will appear asking for permission to allow Kickserv to access the device's microphone. Select the OK button.
  5. Use the camera feature to record a video, then select Use Video when ready to save.
  6. Add a description to the video by selecting into the Add a description... box.
  7. Toggle the Share in Customer Center button on if you want this video to be accessible to the customer, too.
  8. Tap the Upload button to add the video.

  9. Repeat steps 1-8 to add any additional videos.

Uploading Existing Photos and Videos

  1. Choose a job, and scroll to find Files. Tap on the Files section.
  2. Tap the Choose From Library button to access your device's photo and video library.

  3. Tap on the desired photo or video you'd like to upload. Select the Done button.
  4. Add a description to the photo or video by selecting into the Add a description... box.
  5. Toggle the Share in Customer Center button on if you want this video to be accessible to the customer, too.
  6. Tap the Upload button to add the photo or video.
  7. Repeat steps 1-8 to add any additional photos or videos.

Note: There is a 50 MB file limit for uploads directly to Kickserv. This file limit is to keep our service running fast and efficiently for everyone.

PDFs

If a Job or customer has a PDF file attached, it will appear in the list of attachments in the Files section.

  1. Tap on the attachment to bring up the thumbnail view and a View PDF button. You can swipe left or right in this view to see thumbnails of all the attachments.
  2. Tap the View PDF button to bring up a view of the file's contents. You can pinch to zoom in and out and drag to pan around the document, just like you can a photo.

  3. Tap the X or Close PDF button to close the attachment.

Collecting Signatures and Payments

There are three contact points on a Job where you can collect a signature:

  1. When a customer approves an estimate.
    • Tap into an Opportunity, then tap View estimate.
    • Tap the + icon next to Signatures.
    • Input a reason for signature.
    • Collect the signature.
  1. When you want a Work Order approved by a customer.
    • Tap into a Job, then tap View Work Order.
    • Tap the + icon next to Signatures.
    • Input a reason for signature.
    • Collect the signature.
  1. When you complete a job and are collecting payment.
    • Tap into a Job, then tap View Invoice.
    • Tap the + icon next to Signatures.
    • Input a reason for signature.
    • Collect the signature.

Complete the Job

  1. To finish the job, mark it as Complete under the work clock.

  2. Then, tap Clock Out to end your work time on that event. You will have the option to add your hours to the job as a charge item.

  3. Tap Confirm to finalize your selection.


Sending an Invoice

  1. To send an invoice from a job, tap View Invoice located under Charges.

  2. Tap Signature to collect a live signature.

  3. Tap Payments to send a payment request to the customer, which will be completed via Stripe.
