Estimates

Estimates are Opportunities that have been scheduled or sent out to your customer. If you look at the Opportunities page, you'll see a workflow for estimates that moves from left to right.


Depending on your business needs, you may want to first schedule an estimate event, where a technician goes out into the field to give a live quote. Otherwise, you might want skip this step and instead send an estimate to a customer complete with charge items. Neither workflow is better than the other! It is in your hands to use your Kickserv account in the way that works best for your business.

Note: Estimates will only move to the Lost tab if you mark them as lost.

Scheduling an Estimate Event

  1. To schedule an estimate event, select the title of the desired Opportunity located under the New tab.

  1. Once inside the Opportunity, select the Schedule estimate button to begin scheduling an estimate event.

  1. Now, you can select the date and time for the estimate event, input a description for your technician, and assign it to specific tech.

Note: You can only select Estimate in the Task Type drop-down menu.

  1. Select the Add Event button to finish scheduling the estimate event. Now, it will live under the Estimate Scheduled tab on the Opportunities page.

Sending an Estimate

  1. If you want to send an estimate right away, select the title of the desired Opportunity located under the New tab.

  1. Once inside the Opportunity, select the Add a charge button to begin building an estimate.

  1. Here, you can select different charge items to add to the estimate. Select the drop-down arrow to choose from charge items that have already been added to your Kickserv account, or select the + icon to add a new item.
  2. You can make any adjustments to the charge item as needed, such as description, price, quantity, and if the item is taxable. For reporting purposes, you can also assign the charge item a Job Charge Type by selecting the drop down arrow. You can add a new Job Charge Type by selecting the + icon next to it.

  1. To add the charge to the estimate, select the Add Charge button. To quickly add multiple charges to an estimate, check the Create another charge box before selecting Add Charge. This will present you with a blank Add Charge page after adding the previous charge.
  2. To finish, select Add Charge without checking the Create another charge box, or select Cancel.
  3. Rearrange the order of your charge items by selecting the three horizontal lines next to the charge item, then drag the item up or down the list.

  1. When you are ready to send the estimate, select the View Estimate button at the top of the page.

  1. Here, you have the option of further customizing the estimate before sending it to a customer. Choose a Detailed document view to show line items, quantities, and prices on the estimate, or select a Summary document view to show total price while hiding quantities and prices for line items.

  1. You can also rearrange charge items using the three horizontal lines to drag and drop the desired order, and you can add any forgotten charges by selecting the Add a charge button.
  2. You also have the option to add any payment types or enable online payments before sending the estimate. To do so, select the Enable online payments button or Add a payment.

  1. Additionally, you can input any notes or terms specific to this estimate or make any changes to the notes and terms saved in your Document Settings.
  2. You now have the option to Collect live signature, Preview, Send, or Save a Copy of the estimate (downloaded to your computer or added as an attachment to the Opportunity).
  3. When ready, select the Send button. You'll have one last chance to customize the estimate before sending by adding any other emails for delivery or CC, customizing the subject line and message, copying the sender, requiring a signature, and including the estimate as a PDF.
  4. Select the Send Estimate button to send to the customer. Now, the estimate will live under the Estimate Sent tab on the Opportunities page.

Tip: If your Kickserv account is integrated with Stripe, your estimate will also send as a text message!

  1. After sending the estimate, you will see an Estimate Sent icon displayed below the Opportunity header.


Seeing if an Estimate was Viewed


Once a customer views an estimate, it will automatically move to the Estimate Viewed tab on the Opportunities page.

Additionally, the Estimate Sent icon will turn into an Estimate Viewed icon displayed below the header when inside of the Opportunity.

When your customer views the estimate, they have the option to request a modification or approve the estimate. If the customer requests a modification, you can see said request listed in the Opportunity History section of the Opportunity page.

If the customer approves the estimate, the Opportunity will transform into an unscheduled Job!


Lost Opportunities

Any Opportunities that have been marked as Lost will live under the Lost tab on the Opportunities page.

They will also have a Lost icon appear under the header when inside of the Opportunity.
