Custom Estimate, Invoice, and Appointment Messaging

When you send an estimate or an invoice to one of your customers, you can choose to send a predetermined message or a customized one. For appointment messaging, Kickserv will remind the customer at the set interval before their job. If the job is scheduled within the set interval, we send a reminder the same day.


In this article, we will walk through customizing messaging for the following:


Estimate messaging

To customize the messaging on your estimates emails, follow the steps below:

  1. Navigate to Settings —> Messaging Templates.
  2. Select the Estimate messaging tab to customize.

  3. Add your desired email address for customers to reply to, subject line, and custom message.
  4. Select the Update estimate email button to save your changes. Now, when you send an estimate, the customized messaging will appear.

Note: You can still change or modify the messaging for each estimate before sending to a customer.


Invoice messaging

To customize the messaging on your invoice emails, follow the steps below:

  1. Navigate to Settings —> Messaging Templates.
  2. Select Invoice messaging tab to customize.

  3. Add your desired email address for customers to reply to, subject line, and custom message. You can also deselect the Use the default subject box if you wish to customize it.
  4. You also have the option to customize the messaging for Automatic invoice reminders. See our article all about invoices for more information.

  5. Select the Update Invoice Email button to save your changes. Now, when you go to send an invoice, the customized messaging will appear.

Note: You can still change or modify the messaging for each estimate before sending to a customer.


Appointment messaging

To customize the messaging on your appointment emails, follow the steps below:

  1. Navigate to Settings —> Messaging Templates.
  2. Select Appointment messaging tab to customize.

  3. Select the Active box to begin automatic appointment reminders, and select your desired reminder interval, arrival window, email address for customers to reply to, and custom message.
  4. Select the Update customer reminder email button to save your changes.
